First steps with qiip
Start managing your maintenance service following these 10 easy steps
1. Access control panel
Control panel is a web portal from where it is possible to manage everything related to your maintenance service. Use the following link to access qiip and create your account:

2. Create the first users:
You will find 4 types of different roles in qiip: administrator, manager, worker and final users.
- Administrator Manage, organize, allocate and communicate with clients
(ej: CEO, boss of department... )
- Responsible Supervise and control every process
(ej: laundry supervisor...)
- Workers Receive tasks, report incidences and attach files
(ej: operators...)
- Users Report incidences, know their status and chat with the admi.
(ej: clients, citizens... )
Are you an administrator? Start your qiip experience by adding at least one User to your team to start receiving requests and one Worker to whom you can assign tasks.
When your users download qiip App, they can report incidents or requests from anywhere in addition to the portal web. Your employees can also view the tasks you've assigned to them from anywhere, and you can also download it to keep track of everything that's going on!

3. Visualize and create requests
In the panel of Work Orders, you will be able to visualize the new received requested because its status will be Requested (1). Use the search box (2) to find requests by its title, creator or filter results by status (3) to find new reports easily.
Your clients, workers, users… will let you know what they need at any moment. They even will be able to chat with you and send images to comment details and make consults about the status of the requested interventions.
4. Accept requests
To start processing an request, you simply have to indicate its new status from the Work Orders section.
You can accept a request by accessing any card or by activating the Kanban view (1) and moving the card to its corresponding place (2).
If you open one of the cards, you will see that each work order have a Messages space where administrators and managers can establish chat conversations with the user who reports the incident.
5. Create new work orders
An accepted request is already a work order! However, sometimes you may prefer to generate new orders without waiting for a user to report a problem or send a request. You can organize yourself as you wish and create new cards at any time.
Orders generated by the administrator, go directly to Pending status.
6. Add a new task to a work order
You can reflect the evolution of the work by moving the cards from one column to another, until Finished. However, you can do that everything happens without your intervention, you can assign tasks so that each operator receives his assignment and can reflect his development in real time.
Each Work Order can be divided into smaller parts or tasks, so you will need to include at least one of them in each order to indicate who does what.
When you open the work order by clicking on the card, you will see the New Task option. When you create new tasks, you will be able to fill up the card in detail that you will recognize by its yellow background. Don't forget to include a title to identify it.
7. Assign a task
Each new task added is independent, but will be integrated into the same Work Order. You can see them in detail by clicking on each one of them.
To indicate who should do it, click on the field Assigned to and select at least one of your Workers from the list.
The tasks also have a Messages space to maintain chat conversations, but in this case, it is established with the personnel assigned to communicate internally. This conversation is not shared with the user who reported the incidence.
8. Monitoring
From the Work Orders panel, you can consult at a glance the information in the cards, the execution status in which they are, the number of tasks contained in each order, assigned personnel, unread pending messages…
9. Data
Start getting access to relevant data of everything that happens in your maintenance service.
Generate automatic reports of requests, incidents, work orders, operators, resources and other assets.
10. Relax and enjoy
Now that you know the basic functionalities of qiip, all that's left is to relax and let everything flow in an increasingly automated way.
You will gradually discover the most advanced aspects such as asset management, location-based grouping or the creation of scheduled work orders for periodic maintenance.
